מידע על הפתרון הזה
עובדים חדשים בדרך כלל זקוקים לגישה למערכת ולציוד מ-IT. כדי לנהל את הבקשות האלה אפשר ליצור טופס ב-Google Forms שהמשתמשים יכולים לציין בו לאילו אמצעי גישה ומכשירים העובדים צריכים. אחרי שצוות ה-IT ישלים את הבקשה ויעדכן את הסטטוס שלה, המבקשים יקבלו התראה באימייל.
איך זה עובד
הסקריפט יוצר טופס לבקשת ציוד. תוכלו להתאים אישית את הפריטים בטופס בקוד של הסקריפט לדוגמה. כשמישהו שולח את הטופס, הסקריפט שולח התראה באימייל לאיש הקשר הייעודי לשליחת בקשות. אחרי שסטטוס הבקשה בגיליון האלקטרוני ישתנה ל-Complete, הסקריפט ישלח הודעת אישור באימייל לאדם ששלח את הטופס.
שירותי Apps Script
הפתרון הזה משתמש בשירותים הבאים:
- שירות Forms – יצירת הטופס לבקשות IT.
- שירות גיליונות אלקטרוניים – בודק אם טופס הבקשה כבר קיים כדי לצמצם כפילויות. הפונקציה מנהלת את התגובות לטופס על ידי העברתן לגיליונות Pending (בהמתנה) ו-Complete (הושלם), לפי הצורך.
- שירות דואר – יצירה ושליחה של התראות באימייל על הבקשה ועל השלמת התהליך.
- שירות סקריפט – יוצר את הטריגרים. אחד מהם מופעל כשטופס נשלח, והשני מופעל כל חמש דקות כדי לבדוק אם סטטוס הבקשה הוא 'הושלם'.
דרישות מוקדמות
כדי להשתמש בדוגמה הזו, אתם צריכים את הדרישות המוקדמות הבאות:
- חשבון Google (יכול להיות שלחשבונות Google Workspace יהיה צורך באישור אדמין).

לוחצים שוב על בקשות לציוד

הרצת הסקריפט
- לוחצים על כלים > ניהול טופס
> מעבר לטופס פעיל.
- ממלאים את הטופס ושולחים אותו.
- כדאי לחפש באימייל התראה בקשר לבקשת הציוד.
- חוזרים לגיליון האלקטרוני, ובגיליון Pending requests (בקשות בהמתנה), משנים את הסטטוס של הבקשה ל-Complete (הושלם).
- אחרי 5 דקות הסקריפט שולח אימייל נוסף כדי להודיע לכם שהבקשה הושלמה. הסקריפט מעביר את הבקשה מהגיליון Pendingrequests לגיליון Complete requests (בקשות שהושלמו).
